The Registrar's Office, in addition to offering excellent service to the student, provides a series of essential services to the institution: class scheduling, registration, record management, grade reports, issuance of transcripts, the graduation program, evaluation of credit transcripts, course validations, request for incompletes, verification and certification of the information offered by the student in admission, development of the academic calendar, reports and enrollment projection.

 
MISSION

Serve as a link between the administrative and academic processes, so that an effective balance is achieved for the benefit of the students, teachers and the administration of the Puerto Rico Conservatory of Music.

VISION

The Registrar's Office provides an important link between the institution's academic policies and employees. Therefore, it is essential that employees practice high ethical behavior. Students must be treated fairly and respectfully. Policies must be communicated effectively and implemented equally. Flexibility and commitment to service are important values in the administration of a Registrar's office.

Credit Transcription Order

Issuing transcripts is the responsibility of the Registrar's Office. At the request of the student or graduate. In accordance with FERPA, transcripts can only be issued with the student's written authorization.

  • Students can complete the transcript request form available in the Registrar's Office.
  • If a person other than the student requests it, written authorization from the student with a copy of a valid student ID is required.
  • Official transcripts are not delivered by hand. Official transcripts are those sent from institution to institution, for example, university to university or university to work. Any transcript requested by hand or with residential addresses will be a student copy.

Student Certifications

A. REGISTRATION CERTIFICATION

As custodian of student records, the Registrar is in the unique position to provide certifications requested by the student or external agencies. Certifications issued by the Office include, but are not limited to: Income Tax Returns (Tax Returns), Study, Graduation, and Vocational Rehabilitation.

B. CERTIFICATIONS OF STUDENTS OR DEPENDENTS OF VETERANS

  • In our institution, the official who can certify students is: Waleska Martínez Rivera – Registrar
  • The School Certifying Official (SCO) is the person to whom the institution has delegated the authority to sign enrollment certifications and other documents related to Veterans Education Benefits.
  • The Veterans Education Services Office of the Department of Education is the agency designated by the governor to approve or disapprove institutional programs and courses for payment as a benefit under the laws administered by the Veterans Administration. The VA, the Certifying Officer, and the Veterans Education Services Office work together to provide students with the assistance to which they are entitled.
  • The (SCO) must have a thorough knowledge of the regulations, procedures and policies of the Office of Veterans Educational Services, as well as the Veterans Administration.
  • The (SCO) provides information about certification, other procedures and benefits to all eligible students.

C. INTERNATIONAL STUDENT CERTIFICATIONS

  • At our institution, the official who certifies international students is: Waleska Martínez Rivera – Registrar.
  • The Designated Student Official (DSO) is the person who has the authority to sign enrollment certificates and other documents related to International Students.
  • The Designated Official (DSO) must have a thorough knowledge of immigration regulations, procedures and policy.
  • The Designated Student Service Officer (DSO) provides information on regulations, certification, other procedures, and benefits to all eligible students.

Student Academic Record

A. Student Records/CMPR Database

  • The CMPR maintains a comprehensive institutional database, the definition of its elements aligned with the needs and responsibilities of the offices that use and manage it. The information is initially collected and recorded, but must be periodically updated by the corresponding offices or, in some cases, by the student themselves. The institution formally establishes the responsibility of each office to update the common elements of the database, ensuring the accuracy, consistency, and reliability of the information.
  • The student academic record is an essential part of the database. It is an internal or electronic document that contains the student's academic history at the institution, as well as a chronological, quantitative, and qualitative list of the student's educational experiences and achievements.
  • The CMPR establishes a clear policy defining the levels of access to information for various institution officials, as well as for external entities that request it. Such access will be strictly regulated and in full compliance with the Family Educational Rights and Privacy Act (FERPA), ensuring the protection of student confidentiality and rights.

B. Management and retention of student records

  • Only a limited number of documents classified as student records are permanently archived.
  • The availability of information is subject to the actual need for access. All relevant file data is stored in the institutional vault located in the Registrar's Office.
  • Academic records are kept in a secure area, with access restricted to authorized personnel with a legitimate interest in the information.
  • The CMPR document retention policy is established in compliance with applicable state, national, and federal laws and regulations.
  • The student's disciplinary record is maintained in the Office of the Dean of Student Affairs.

FERPA Law

The Puerto Rico Conservatory of Music observes faithful compliance with the “Family Educational Rights and Privacy Act” (FERPA) of 1974. This law protects the student's right to have access to their documents and at the same time protects their privacy rights by limiting the disclosure of such information without your consent. The law guarantees students the following rights:

  1. Right to inspect and review your academic record. This request must be filed in writing at the Registrar's Office.
  2. Right to request amendments to the academic record, if it is believed that the information is incorrect or confusing. This request must be filed in writing at the Registrar's Office, specifically indicating which part of the record is requested to be changed, and the reasons why it is believed to be incorrect or confusing.
  3. Right to not allow access to information contained in the student's academic record without his or her consent, except in the case of those officials authorized by FERPA, such as employees who need access to said information to perform their job; institutions to which the student is to transfer; parents of dependent students; government officials in the exercise of legal functions; agencies that grant financial aid to the student; auditors and accreditation agencies.
  4. Right to file a complaint with the Federal Department of Education if the Conservatory fails to comply with the provisions and requirements of the FERPA Law. They can be referred to:

    The law also describes the types of consents that students must give before personal information can be used. The institution requires written authorization from the student to release information from a student's academic record.

Registration and Exemption

Registration Process

All active students must participate in the registration process on the dates established in the academic calendar by the Registrar's Office. This requires academic counseling, a pre-enrollment process with the academic advisor, where he verifies the student's course selection and approves them. After that, you will proceed to complete the registration process and payment.

With honors

The funds from this scholarship will be credited directly to the applicable Tuition and Fees costs. Up to a maximum of 50% of the total cost of tuition will be awarded, subject to the balance available in the Scholarship Endowment Fund of the Puerto Rico Conservatory of Music.

Rules and requirements to enjoy this scholarship

1. Be a regular student of the institution with an academic load of twelve (12) credits or more.
2. Have passed the first (1st) year of the degree to which they were admitted and have passed a minimum of between 38 and 44 credits, according to the Baccalaureate that the student is pursuing. Credits transferred from another educational institution will not be taken into consideration.
3. Maintain a general average of 3.80 points on a scale of 4.00 points.
4. Maintain a general average of 4.00 (4.00=A) points in your specialty.
5. Have approved at least two thirds (2/3) of the credits enrolled during the previous semester.

THE following WILL NOT BE ELIGIBLE FOR THE EXEMPTION BENEFIT:

1. Students in the remedial/preparatory student classification
2. Students with an academic load of less than twelve (12) credits
3. Student debtors
4. Students on academic probation
5. Students in the programs: Diploma and Master of Music
6. Teacher Certification Program Students
7. Students who have received incomplete grades or who have previously withdrawn completely from the institution.

Veterans and Beneficiaries

The Institution is approved by the Veterans Educational Services Approving Agency to provide academic training to students under the various GI BIll® programs (GI Bill® is a registered trademark of the US Department of Veterans Affairs).

The Conservatory of Music offers various services to the veteran and/or their dependents through a Veteran Officer. This is responsible for evaluating, certifying and monitoring the academic load of all students who receive benefits from the Veterans Administration. The students who are certified are all those who receive benefits from:

  • Chapter 1606 – Reservists and National Guard
  • Chapter 30 – Active Duty
  • Chapter 35 – Dependents of Veterans
  • Chapter – 33 Post 9/11 GI BIll®
  • Law 203 – 21st Century Puerto Rican Veteran's Bill of Rights**

**For this benefit you must present the following documents to the Registrar's Office:

  • Form DD-214 – Certificate of discharge or separation under honorable conditions.
  • Certification from the Veterans Administration indicating that you have exhausted all Administration benefits. (If it is the veteran who is applying for benefits)
  • Birth Certificate (of the student)

The benefit you will get:

  • 100% Tuition Discount (Veteran)
  • 50% discount on tuition and fees (Children and spouses)

Graduation

Graduation is the process through which the Conservatory certifies that the student has met all the requirements leading to the Bachelor of Music (BM) degree, Master of Music degree or the Graduate Performance Diploma program. To request graduation, the student must obtain the Graduation Request form from the Registrar's Office, pay the corresponding fee and submit it on or before the deadline stipulated in the Academic Calendar. The Registrar's Office will carry out the corresponding evaluation and submit the names of the students who met all the requirements established for each career. After this, the final list of graduation candidates will be submitted to the Academic Senate, who will officially certify them.

Academic Regulations

It is the student's responsibility to become familiar with the academic rules and regulations, as well as any changes to them, which are published annually in the catalog, as well as in its addenda. However, it is not possible to guarantee that during the course of the academic year any of the information contained therein may change due to changes in faculty, administration, curriculum, among others.

In it, you can obtain information about requests for a change of professor, change of concentration, incompletes, partial withdrawals, total withdrawals, administrative withdrawals and Student Travel and Extended Interruption of Studies licenses.
